Paying an Invoice

Overview

Order.co makes it easy to pay all of your business expenses in one place! You can use our Invoices page to review and pay your consolidated invoices. You can even use rewards and credit memos against the balance of your invoices. This page also gives you visibility into your credit limit and what is impacting your credit. 

Before you pay

To pay an invoice on the Invoices page, don't forget to link a bank account! If you want to group your purchases into separate invoices by location or cost center, ask your Customer Success Manager or Implementation Consultant for assistance, or check the your Billing Settings to set up auto-pay, billing addresses or name your invoice groups for better visibility.  

Checking your available credit

Knowing how much credit you have with Order.co can help you make quick decisions about your payables and get ahead of potential credit holds.

To check your credit, use the navigational menu to open the Invoices page. Here, you'll find your credit limit, and how much you've spent against it at the top of the page.

  Description
Outstanding Invoices Invoices that have been issued and are either Due or Late. 
Pending Orders This total includes: completed orders, orders awaiting vendor payment, settled Virtual Card transactions, and completed refunds.
Credit Memos Issued credit memos for rewards, overpayment, or refunds. 
Preferred Advance Credit Business that use our Preferred Advance financial product will have a portion of their credit limit allotted to Preferred Advances. 

If you find your business has used up most of your credit with more orders to place, we suggest you try the following:

  1. Pay one or more invoices early. You can use any available credit memos against the balance.
  2. Request a Credit Limit increase. Ask your Customer Success Manager for next steps.
  3. Request that some of your pending orders be invoiced now. You can pay for those purchases early. 

If you exceed your credit limit, ordering for your business account will be paused until you pay one or more outstanding invoices. 

Paying an Invoice

To review your invoices and credit memos, open the Invoices page from the navigational menu. You'll be able to filter invoices by status (Due, Late, or Paid) or Invoice group. You'll see your invoice group information, the rewards you earn by paying this invoice, and whether the invoice has been posted to your integrated accounting software. Invoices should post the day they are issued, so reach out to our Support team for assistance if an invoice doesn't post. 

Switch to the Credit Memos tab to see all of your used and unused credits.

The Screenshot 2025-05-23 at 12.22.01 PM.png icon next to invoices indicates a partial payment has been made against an outstanding invoice's balance. Click the icon to see what was paid and the remaining balance. The button will also show payment history for paid invoices.

After reviewing your invoices, click Pay or Pay Invoices at the top right to start the payment process. You can quickly pick multiple invoices to group for payment by filtering your invoices by invoice group. 

Screenshot 2025-02-25 at 4.46.36 PM.pngWhen you are ready, click Continue to credit memos. Next, choose which credit memos to apply against your invoice balance. Once applied, credit memos will be marked as used on the credit memo table.

If you choose to pay the entire balance with a large credit memo, the invoice(s) will be marked as paid and the credit memo will appear on the Invoices page with a partial payment icon showing the remaining balance.

Click Continue to payment to review and finalize your payment. You can return to previous pages to edit your payment selections. Click Submit payment to select a payment method from a list of the bank accounts assigned to you on the Payment Methods page.

After paying an invoice, the email on file for that Invoice Group(s) will receive a confirmation email. All selected invoices will be marked as paid, and credit memos will be marked as used. The credit and spend tracker will update within a few moments of submitting payment, so you have up-to-the minute credit availability!
