Approvals can be set up to make sure that users at your company are not spending unnecessarily and allow your management team to easily gain visibility into what is being ordered. Budgets allow you to easily keep track of how much each spend is occurring by location, user, or product category. Additionally budgets can be used to trigger approvals so you'll never go over budget again!

Optimize your product catalog
One of the best ways to predictably measure your spending and cut costs is by ensuring your product catalog is curated to best suit your needs. Once you determine which products and prices work best for your team, you can restrict who can add new products to your organization, ensuring that all products are approved for ordering. We also recommend reviewing your product catalog monthly or quarterly for unordered products. This helps keep your catalog up to date and reduces clutter!
For the budget-minded, adjusting your substitution preferences is a great way to save money with Order.co. While we will always try to find you the cheapest price on the exact product you order, substitution preferences allow us to further expand your ability to save across a variety of ordering situations.
The ‘Always’ preference will allow Order.co to replace your original product with a similar product that is cheaper than what you were originally ordering. This setting is great for products where you don’t care about product brands, such as office supplies or certain cleaning supplies. Once we make a substitution for you under this substitution preference, you’ll get the substitute product anytime someone at your organization orders the original!

If you’d like to get even more visibility into your spending and save time during checkout, our Coding features allow you to reduce or eliminate the manual coding your team does. You can set up as many codes as your accounting team currently needs and apply codes by default by user, product, product categories, or cost center.
